Who is Bespoke Hotels?

Bespoke is a growing group of hotels based all around the UK. The group prides itself on delivering great service, a flair for hospitality and unbeatable customer service, each property is tailored throughout to enhance its essential character and to meet the needs of its discerning guests.

The challenge

Managing rotas and timesheets in a changing industry

Managing around 50 hotels of varying shapes and sizes UK-wide, keeping an eye on the bottom line is crucial. And with around 5,000 employees, Excel or pen and paper just wasn't cutting it.

Planday's time and tracking feature was absolutely essential to the decision. For Bespoke's Victory House location, they were after a time and attendance tool due to the size of the operation – the hotel part alone consists of 86 bedrooms that need looking after.

Implementing Planday there has gone so well, that Bespoke scaled the system out to other locations.

Another challenge was payroll visibility and cost control.

At Bespke's White Horse location, they use Planday to solve a very real business problem for all hospitality businesses — payroll costs. As anyone in the sector knows, payroll is always the highest cost which need to be monitored closely to for profitability.

Having lots of casual staff, requires a balance between a good work environment while controlling the cost of labour.

Another challenge the business has answered with Planday is that of rising costs and expense inflation, of which rising payroll costs is a significant portion. Training and retention has been key to efficiency and staff engagement.
